AI Assistant Guide

Overview
The AI Assistant is a document-aware chat feature that can answer questions about body corporate management, Australian strata law, and your scheme's specific documents. It is available on Standard and Professional subscription plans.
Accessing the AI Assistant

Go to AI Assistant in the main navigation. The chat interface opens with a full-screen conversation view.
If your scheme is on the Starter plan, the assistant is not available. Upgrade your subscription in Settings → Subscription to access this feature.
Asking Questions
Type your question in the text box at the bottom of the screen and press Enter (or click Send). The assistant responds with formatted markdown — headings, bullet lists, code blocks, and blockquotes are rendered correctly.
Example questions:
- "What is the notice period required for an AGM in Queensland?"
- "How do we enforce a by-law breach in New South Wales?"
- "What are the rules around proxy voting at a general meeting?"
- "Can a lot owner keep a dog without committee approval?"
- "What is the difference between an ordinary resolution and a special resolution?"
The assistant responds in the context of Australian strata law. For formal legal matters, always consult a qualified strata manager or solicitor.
Daily Message Limit
The header shows your daily message usage (e.g. "12 / 50 messages today"). The limit resets at midnight. If you reach the limit, wait until the next day or contact support to discuss your plan.
Adding Document Context
The assistant's knowledge is general by default. To get answers specific to your scheme's registered by-laws, insurance policies, financial reports, or other documents, load them into the conversation as context.
Manual context injection
- Click the 📄 button (left of the text box).
- A picker shows all documents that have been processed for AI extraction (status: Extracted).
- Click a document name to add it to the conversation.
A green pill appears in the chat thread: "[Document name] — context loaded". The assistant can now answer questions about the content of that document.
Only documents with AI extract status: Extracted appear in the picker. Documents are processed for extraction after upload; large documents may take a few minutes.
Automatic context injection
The assistant can automatically detect when a document in your library is relevant to your question and inject it without you asking. When this happens, a purple pill appears: "[Document name] — auto-added" (marked with ✨).
How many documents can I load?
You can load multiple documents. The document count badge in the header shows how many are currently in context (e.g. "📄 3 docs in context"). Very large documents are split into chunks automatically — the chunk count is shown in the pill.
Clearing the Conversation
Click Clear history in the top-right of the header to erase the entire conversation history, including all loaded document context.
You will be asked to confirm before clearing. This action cannot be undone.

To upgrade, go to Settings → Subscription → Change plan.
Limitations and Caveats
- The assistant provides general guidance based on Australian strata law and your scheme's documents. It is not a substitute for legal advice.
- Document context is limited to documents that have been successfully extracted. PDFs, Word documents, and plain-text files are supported; scanned image-only PDFs may not extract correctly.
- The assistant does not have access to live data (levy balances, poll results, task statuses) — only uploaded documents.
- Responses should be verified against your scheme's registered by-laws and the relevant state legislation.
Frequently Asked Questions
Why doesn't the 📄 picker show all my documents? Only documents with AI extract status Extracted are shown. Documents uploaded recently may still be processing. Check the document's detail page — if it shows "Processing", wait a few minutes and try again.
Can I use the assistant to draft documents? Yes — ask it to draft text for an AGM notice, a by-law clause, a letter to an owner, or a resolution. Always review and adapt the draft before use.
Does the assistant remember previous conversations? Conversation history is saved per scheme. When you return to the Assistant page, your previous messages are restored. Use Clear history to start a fresh conversation.
Is the assistant available on the mobile portal? The AI Assistant is accessible via the desktop/web interface. The mobile portal (optimised for lot owners) does not include the assistant view.
