Getting Started with Stratapilot

Overview

Stratapilot uses an invite-only model — you cannot self-register. A committee executive from your strata scheme will send you an invite email, and this guide walks you through everything from clicking that link to navigating the platform for the first time.


Step 1 — Receive and Open Your Invite Email

You will receive an email from Stratapilot on behalf of your scheme's committee. The email contains:

  • The name of the strata scheme you are being invited to join
  • Your assigned role (Lot Owner, Committee Member, or Caretaker)
  • Your lot number (if applicable)
  • A unique invite link

Click the Accept Invitation button in the email. The link opens the invite acceptance page.

⚠️ Invite links expire. The expiry time is shown on the invitation page. If your link has expired, contact your scheme's secretary or chairperson to request a new invite.


Step 2 — Accept the Invitation

New to Stratapilot

If you do not have an existing account, you will see a form to set up your account:

  1. Enter your full name — this is how you will appear to other scheme members.
  2. Enter your phone number (optional) — used for contact visibility to committee members.
  3. Choose how to sign in:
    • Set a password — enter a password of at least 8 characters.
    • Use Google — click "Accept with Google" to link your Google account. The Google account email must match the email address the invite was sent to.
  4. Click Accept Invitation.

You are now logged in and redirected to the dashboard.

Already have an account

If you already use Stratapilot for another scheme:

  1. If you are not logged in, you will be prompted to log in first, then redirected back to the invitation.
  2. If you are already logged in, click Accept Invitation to add the new scheme to your account.

Declining an invitation

If you do not want to join, click Decline invitation. You will be asked to confirm. The inviting committee member will be notified.


Step 3 — First Login and Dashboard

After accepting, you land on the Dashboard. What you see depends on your role:

Scheme Admin — Setup Checklist

If you created the scheme (or manage it), the dashboard shows a setup checklist until the scheme is fully configured. Steps tick themselves automatically as the underlying data appears — there is nothing to mark done manually:

Each incomplete step links straight to the page where you complete it. If your scheme migrated from another system and this period's levies were already issued there, use Skip on the levy step to mark it not applicable (you can undo this). Use Hide checklist to dismiss the whole card for the scheme; it disappears for all admins. A hidden checklist can be brought back at any time from Settings → Administration → Dashboard setup checklist.


Step 4 — Navigate the Platform

The main navigation menu is on the left side of the screen. Sections visible to you depend on your role.

Step 5 — Update Your Profile

After first login, update your contact details:

  1. Click your name or avatar in the top-right corner.
  2. Select Profile.
  3. Update:
    • Full name
    • Phone number(s)
    • Mailing address (if different from your lot address)
  4. Click Save.

Your email address is your login credential and cannot be changed without a new invite. Contact your committee's secretary if your email address has changed.


Switching Between Schemes

If you are a member of more than one strata scheme, a scheme selector appears at the top of the navigation. Click it to switch to a different scheme. Each scheme has its own data, roles, and settings.


Password Reset

If you forget your password:

  1. Go to the Stratapilot login page.
  2. Click Forgot password?
  3. Enter the email address associated with your account.
  4. Check your email for a reset link and follow the instructions.

Password reset links expire after 1 hour.


Logging Out

Click your name in the top-right corner and select Log out. Your session is ended immediately.
